What does a missed call cost? An honest calculation for seasonal businesses
It’s Saturday, 11:30 a.m., 29 degrees. Fifteen people are queuing at the dock for boards. The phone rings – and rings out. Nobody thinks twice, because that’s just what peak season looks like. The problem: the person on the other end may not have been an individual caller, but the organiser of a stag party with twelve participants.
The simple maths
Let’s use deliberately conservative numbers from a typical SUP rental: an hour of board hire costs around €15–20, a half-day package with instruction €35. A group enquiry of ten people quickly equals €350 in revenue – from a single phone call.
Studies of caller behaviour have shown the same pattern for years: a large share of callers who can’t reach anyone don’t leave a message – they simply call the next provider. In the leisure sector the switching barrier is especially low: the next rental is one Google search away.
If you miss just two relevant calls a day during the season, you often lose more revenue in a month than a full year of phone assistance costs.
What tends to get overlooked
- Repeat customers: the group that can’t get through today will book elsewhere next year too.
- The evening gap: many outings are planned the night before – exactly when nobody at the business picks up anymore.
- Team stress: every call answered mid-conversation interrupts two customers at once – the one on the phone and the one at the counter.
- The damage is invisible: missed calls never show up in any report. You only see the bookings that happened – never the ones that were lost.
Three ways to solve it
1. More staff: the most expensive option – and during peak season often simply unavailable. An extra person just for the phone doesn’t pay off for most businesses.
2. Voicemail: costs nothing, achieves little. Most callers hang up on a recorded message, and their questions (“Do you have anything free tomorrow?”) remain unanswered.
3. An AI phone assistant: always picks up, answers standard questions instantly and captures a structured callback request for everything else. The team returns calls in one batch when the dock is quiet – no call is lost, no customer conversation is interrupted.
Bottom line
Missed calls are not a cosmetic flaw – they are measurable lost revenue, and one of the few cost items in a seasonal business that can be almost entirely eliminated with modest effort. The first step is an honest estimate for your own business: how often does your phone ring into the void?
